This policy covers the Workify website (workify.ca) and the Workify apps hosted on workify.ca addresses, including CFO AI (accounting.workify.ca). "We" and "us" mean Workify.
1. This website
- What you send us. If you fill in a form on this site, we receive what you enter: your name, company, email, phone number and the details you give about your business.
- What we use it for. To review your application and to contact you about it. Nothing else.
- Tracking. This site has no advertising or analytics trackers. Like any website, our hosting provider and the services that deliver our fonts and scripts receive your IP address and browser type when a page loads.
2. Workify apps
Workify apps are business tools used by a company and the people it authorises. They hold that company's working records, such as customers, jobs, invoices, payments and staff or contractor names. Each company's records are available only to that company's signed-in users and are used only to run the app for that company.
3. CFO AI and your Google account
CFO AI is a private bookkeeping tool. An authorised person at the company can connect the company's own Google account so that supplier invoices are picked up and filed automatically. Connecting is optional and can be undone at any time.
What CFO AI accesses
- Gmail (read only). It looks through the connected mailbox for invoices: messages with invoice attachments (PDFs and images) and invoice or receipt notification emails. For those messages it reads the attachment, the sender, the subject, the date and the text of the message. It cannot send, change or delete email.
- Google Drive. It creates a folder for each customer and saves a copy of each invoice there, so the company keeps its own files.
- Google Sheets. It creates and keeps up to date one summary spreadsheet of the company's jobs.
How that information is used
- Only to provide these bookkeeping features to the company that connected the account: reading each invoice, matching it to a job, and showing it in the app.
- Invoice files and the details read from them are stored in the app's database and file storage, and are visible only to that company's signed-in users.
- To read an invoice, the file is sent to an AI document-processing provider, which returns the invoice details (supplier, amounts, items). It is sent for that purpose only.
What we do not do
- We do not sell Google account data or share it with anyone, other than the service providers needed to run the feature (hosting, database and the document-processing provider above).
- We do not use it for advertising.
- We do not use it to develop, improve or train generalised AI or machine-learning models.
- No person at Workify reads it, unless the company asks us to (for example, for support), it is necessary for security, or the law requires it.
CFO AI's use and transfer of information received from Google APIs to any other app adheres to the Google API Services User Data Policy, including the Limited Use requirements.
Disconnecting
You can remove CFO AI's access at any time from your Google account at myaccount.google.com/permissions. Once access is removed, CFO AI can no longer read the mailbox or write to Drive or Sheets. Files already saved in your own Google Drive stay there, under your control.
4. Where information is kept
Information is stored with established cloud providers that host our website, apps and databases. It is sent over encrypted connections, and access is limited to signed-in, authorised users.
5. How long we keep it, and deleting it
We keep a company's records for as long as the company uses the app, and information from website forms for as long as it is needed to respond. You can ask us to correct or delete your information, or the information obtained through a connected Google account, at any time by emailing us. We will act on the request within 30 days.
6. Changes
If this policy changes, the new version will be posted on this page with a new date.
